WEDDING BEDROOM ACCOMODATION

The wedding couple will allocate the bedrooms when booking the entire house for their wedding day. Once we have received the guest information with the bedroom allocation, we will contact to take payment.

If you are unable to join us for the wedding day, please inform the wedding couple as they are liable for the bedroom rate.

HOTEL BEDROOMS DEPOSIT (Not wedding bedroom bookings)
A £25 deposit will be taken at the time of booking. The remainder of your first night accommodation will be taken by card on your arrival. We do not accept cash as a payment method. Card only. 

If the card holder won't be present at check in please fill out the following form and return to info@sparthhousehotel.co.uk. If this form is not completed by guest arrival, they will be asked to pay for their stay.  Please click here to download the form.

Please note, photo identification will be required on check in if the card holder is not present. 

GUESTS

Management reserve the right to ask guests to leave due to inappropriate behaviour.

CHILDREN
One child from 1 to 16 years is charged GBP 15 per person per night in an extra bed. Children under the age of 16 have to be accompanied at all times.

INTERNET
WiFi is free and available throughout the hotel. 

PARKING
Free public parking is available on site (reservation is not needed). The hotel takes no responsibility for any damage, accidents or loss. 

PERSONAL PROPERTY

The hotel does not accept responsibility for any items or gifts brought onto the premises. All items left on the property are at owner’s risk. 

LOST PROPERTY

We will retain lost property for 28 days only, it will then be disposed of.

DAMAGES

The hotel reserves the right to charge for any damage to the property caused by the guest.

FOOD & DRINK
No food or drink is allowed on the premises for personal consumption. A charge may occur if food is found to be brought into the hotel.

SMOKING
No smoking within the house, a £50 charge will be implemented if we suspect smoking within rooms. 

STANDARD LOFT BEDROOMS
Friday & Saturday Reservations: please be advised that our Standard Loft Bedrooms are located above our function suite, where weddings & functions are held.

Although the music finishes at 00:30, loud noise will be encountered. Please check with the hotel as to whether a function is being held on the date. Alternatively a House Suite or Executive House Room is recommended.

CALLS

All our calls are recorded for training purposes.

PAYMENTS

We accept the following payments: America Express, Visa and MasterCard. 

We do not accept cash payment.

 

WEDDING TERMS & CONDITIONS

 

CIVIL CEREMONY

In the instance of having a civil ceremony, it is your responsibility to book your registrars. Please confirm with your Wedding Coordinator once booked.

If the preferred time of 1:30pm isn’t available, please contact your Wedding Coordinator to advise prior to booking registrar.

PAYMENT SCHEDULE

Once you have decided on the date, a provisional booking will be held for up to 14 days, after which time the date should be confirmed or released. If we do not hear from you in the 14 days, the date will be released.

Initial deposit to confirm a provisional booking to an approved booking of £600.00 for a non-exclusive wedding or £975.00 for a fully exclusive wedding (see full exclusivity section for further details). This deposit is non-returnable but transferable up until 1 year prior to the wedding date. This deposit can be transferred once on to another wedding date only. If you book within 12 months of the event, your initial deposit will be as above, plus 25% of your wedding quote.

In the instance of a non-exclusive wedding, your £600 deposit will be retained until 1 week after the wedding. In the event of any damages to the property, guests found drinking on the premises, unpaid guest bills or any other occurrences that will cost the business money, these costs will be deducted from your retained deposit before refunding.

Payments are as follows and do not include your deposit:

18 months prior, total of 10% of initial quote for your wedding to be paid.

1 year prior, total of 25% of initial quote for your wedding to be paid.

6 months prior, total of 75% of initial quote for your wedding to be paid.

6 weeks prior, (following your final meeting with final numbers given to Wedding Coordinator), final balance for your wedding to be paid.

Final numbers and final payment will be reviewed 2 weeks prior to wedding. After this if numbers decrease no refund will be available. If the numbers increase your wedding coordinator needs to be made aware more than 96 hours prior to your wedding.

Payments can be made by debit/ credit card or bank transfer. Late payments are subject to 10% surcharge. The venue reserves the right to cancel wedding if payments are received late.

Minimum numbers apply, please enquire when making the booking. If minimum numbers are not reached, wedding will still be charged at minimum number amount.

FUNCTION CANCELLATION POLICY

All deposits/ monies paid throughout are forfeited if cancelled.

Cancellation received 18 months prior to the wedding will result in a 20% forfeit of the estimated function total; 1 year prior 30%; 6 months prior 75%; less than 4 months prior the total cost of the function will be payable.

We advise wedding insurance is taken out.

FOOD & DRINK

Menus should be chosen on the basis of all guests selecting the same dish, although we are happy to cater for any special dietary requirements or vegetarians. Any guest allergens must be made aware to the hotel prior to the wedding. Please be aware that the airborne environment is not nut free.

Choice menus are available at an additional charge. Half adult portions and children’s meals are also available. All day and evening guests must be catered for. This ensures that we have the correct amount of food and staff. Menu prices are fully inclusive of VAT.

Bar tabs can be set up with a pre-authorised credit card, and the same card to be used to pay the balance. No other cards will be accepted.

No drugs/ drink/ food can be brought onto the premises for personal consumption. Management reserve the right to confiscate these items and guests will be escorted off the premises. Charges may apply if personal food & drink is found on the premise. Please communicate this to your guests to avoid any embarrassment. In the worst instance, we reserve the right to close both bars.

VENUE & GUESTS

We are constantly refurbishing and redecorating the venue. Fixtures, fittings and furniture may change from booking to your wedding day.

The hotel shall not be liable for any failure to provide contracted facilities in the event of it being prevented from doing so as a result of fire, storm, flood, disturbance, plot, industrial action or any other causes beyond its control.

The hotel reserves the right to alter or amend any packages or prices of weddings to offer discounts or incentives to prospective couples.

The hotel does not accept responsibility for any items or gifts brought onto the premises. This includes the car park. All items left on the property are at owner’s risk. Any items left on the property after your wedding will be disposed of after 1 week if not collected.

Any damage to the premises is payable by the wedding couple. Any accounts left unpaid by guests are payable by the wedding couple on departure.

Management reserve the right to ask wedding guests to leave due to inappropriate behaviour.

SUPPLIERS

All suppliers and entertainers that are sourced by the wedding couple, must have Public Liability Insurance for at least 2 million pounds and produce proof of this and a copy of PAT to the hotel at least one month before the function date. All goods brought onto the premise are left at the supplier’s own risk.

Suppliers can gain access to the venue from 8am to set up and 8am the following day to pick up. Everything must be removed by 11am the next day.

A list of suppliers must be provided to the hotel 6 weeks prior to the wedding. The venue reserves the right to use all photographs taken on the property.

Confetti is only permitted to be thrown on Confetti Lane. Confetti must be bio-degradable only. Smoke machines are not permitted.

GROUP BEDROOM BOOKINGS FOR NON-EXCLUSIVE WEDDINGS

A non-refundable deposit of £25.00 per room is required at the time of booking and the remaining balance upon check-in.

Check-in is from 2pm. Early check-in from 12pm and/ or late check-out until 1pm is subject to availability and cannot be guaranteed, including the Bridal Suite at the cost of £25 each.

All double rooms are based on 2 people sharing.

If you book more than 6 rooms and cancel less than 1 month prior to the date of check-in, you are liable for full payment of the rooms.

FULL EXCLUSIVITY

If you wish for full exclusivity of Sparth House Hotel, all 16 bedrooms must be paid for at a double room rate. Check-in for bedrooms is from 2pm. Early check-in from 12pm and/ or late check-out until 1pm is subject to availability and cannot be guaranteed, including the Bridal Suite at the cost of £25 each.

Even if you cannot fill all 16 bedrooms you will be expected to pay for the entire room rate. Any accounts left unpaid by guests are payable by the wedding couple on departure.

With full exclusivity you also receive exclusive access of the Regency, Bar and Lounge area/ Restaurant (front & back) and the back gardens.

We reserve the right to use the annex on the left of the property for other functions as they will not come into the hotel front entrance. We will let you know in advance that there will be another function out of courtesy. The other function will not be allowed into the main part of the hotel or to use any of the bedrooms.
